Purpose of job Reporting to the General Manager, the main responsibility of the Administrative Assistant is to provide daily support to the team, including, but not limited to administrative tasks such as scanning invoices for technical staff in the team, prepare reports regularly, follow up on reimbursement claims for team superintendents and other secretarial duties. Job Position Summary To assist in daily operation of corporate accounting including handling receipt journal entries, monitoring, and arranging inter-company fund transfer and preparation of whole set accounts of small companies. Key Roles and Responsibilities Monitoring and preparation of daily cash flow report at group level Co-ordinate inter-company fund transfer to meet fund usage purpose Handling full set accounts of small companies incorporated in Hong Kong Checking of corporate invoices Preparation of journal entries on receipts into accounting system, Oracle Reconciliation of inter-company balances Maintaining staff accounts with the Company Ad hoc assignment in supporting of finance & accounts department Requirements With solid accounting knowledge on IFRS, and minimum 3 years of working experience Higher diploma in Accountancy/ business or equivalent background Excellent knowledge in MS Office and Microsoft 365 Fluent in Spoken and Written – English, Cantonese and Mandarin Relationship INTERNAL: Communicate with various departments, i.e. Procurement, Insurance, Technical, New Building and Human Resources on fund receipts Overseas offices, i.e. India, Singapore, Manila, Singapore, Korea on inter-company transactions EXTERNAL: Bankers – handling bank accounts status and fund receipts matters Auditors – assist in providing supporting and audit schedules to auditors in year-end audit Vendors – handling funds return from vendors Fleet Management Limited is committed to diversity, equity and inclusion in the workplace.
