Reception and Office Management
- Handle office main line, screen calls, and provide client support
- Manage meeting rooms, common areas, and office visitors
- Maintain office equipment and manage office supplies
- Administer office security system and manage access cards
- Coordinate travel requests for Hong Kong team and visitors
- Manage business cards for all employees and assist with event scheduling.
- Manage relationships with vendors and suppliers
- Oversee IT support for the office, including hardware and software arrangements for new joiners
- Support new joiner and leaver processes, including printer and phone system setup
- Manage office work mobiles, contracts and renewals on a timely manner.
- Maintain and update stock and checklist on fixed assets and office equipment
Marketing and Business Support
- Assist with sales and marketing requirements for the office
- Coordinate event registrations, source and liaise with venues, manage logistics for marketing materials.
- Update administrative and CRM records and produce reports upon request
Operational Support
- Assist with credit card transactions, preparation of purchase orders, and tracking of expense reports.
- Provide ad hoc support to finance and business when needed
Essential
- Attention to detail and a passion for admin, process and efficiency
- Good command of English language skills (spoken and written)
- Experience in reception work, office management and maintenance, travel arrangements and sales and marketing coordination
- Able to work to tight deadlines
- Highly collaborative, enabling a working partnership with multiple team members across multiple disciplines
- Able to work flexibly and respond to changing business priorities
- Demonstrate sound judgment and discretion
Preferred
- Worked in a multinational corporate environment
- Certificate or higher in a related field
- 3-5 years of prior experience in reception, office management, travel coordination, and sales/marketing support.
- Project management skills
- Intermediate to advanced working knowledge of Microsoft Excel and Word
- Excellent command of spoken and written Chinese and English
