Purpose of job Reporting to the Executive Director, the main responsibility of the Executive Assistant is to provide daily support to the team, including, but not limited to administrative tasks such as scanning invoices for technical staff in the team, prepare reports regularly, follow up on reimbursement claims for team superintendents and other secretarial duties.
Responsibilities Provide general secretarial and administrative support to Technical Department Answering phone calls for colleagues during their absence Data input and relevant documentation coordination and filing Prepare quarterly Vessel Inspection Reports and presentation materials Prepare Travel Claims Report for reimbursement Copy Invoices for submission to Accounts Department Perform other ad hoc duties as assigned
Job Requirements Bachelor's Degree with secretary experience is preferred Excellent communication skills High degree of professionalism and attention to detail Good working knowledge of Microsoft applications including Word, Excel, and PowerPoint Fluent in English (both written and spoken) Hardworking with a good working attitude Willing to learn
