Job Summary:

We are currently seeking a Customer Service Specialist / Clinic Assistant to join our team. In this position, you will provide exceptional customer service and coorinataing with our clinic partners. You will be responsible for managing customer inquiries, resolving issues, and ensuring a seamless client experience in a friendly and professional manner.

• Follow up with post sales customers to ensure satisfaction and address questions promptly. Build positive relationships through clear communication.
• Follow up with customers regularly to maintain satisfaction and cater to additional needs. Customize interactions for a personalized customer experience.
• Coordinate appointments with partner dentists for quick responses and solutions. Arrange appointments to suit customer preferences.
• Manage a booking system for appointments, ensuring smooth communication between customers and dentists.
• Support the coordination of production schedules and shipping logistics to guarantee timely delivery of products.
• Collaborate with shipping partners for pickups, delivery, and issue resolution. Keep customers updated on shipping progress.
• Maintain an organized record system for easy access and accuracy. Follow standardized procedures and ensure data protection compliance.
• Help onboard new team members and provide support and guidance as needed.

• Proven experience in a customer service role, preferably in the dental or clinic setting environment. 
• Previous working experience as a clinic assistant is ideal.

• Excellent communication and interpersonal skills, with fluency in English, other languages is an added advantage.

• Proficiency in using customer service software, CRM systems, and other relevant tools. 

• Positive attitude, empathy, and a genuine passion for providing exceptional customer service. 
• Ability to start working as soon as possible.

Job Responsibilities:

• Welcoming and greeting visitors in a professional and friendly manner
• Handling incoming calls and directing them to the appropriate person or department
• Assisting with meeting room bookings and coordinating meeting logistics
• Performing general administrative duties, including but not limit to travel and hotel management, attendance records etc
• Assisting with office management tasks, such as managing office supplies and coordinating office maintenance and equipment procurement
• Providing administrative support to various departments when needed
• Assist in organizing company activities
• Assisting with ad hoc projects and tasks as assigned

• Diploma or above in Business Administration or related disciplines
• At least 5 years of relevant working experience
• Excellent verbal and written communication skills
• Strong organizational and multitasking skills
• Ability to work independently and under pressure
• Proficiency in Microsoft Office Suite
• Ability to handle confidential information with discretion
• Good command of both spoken and written English, Cantonese, and Mandarin is a plus

About the Role

Duties / Accountabilities

• Handle and investigate the escalated cases from colleagues or regulator in both written and verbal communication;
• Assist in regular resources planning and allocation through roster management so as to maximize the function and production of individuals;
• Assist in implementing management’s new business initiatives to enhance the company’s customer service standards and reputation in the market;
• Provide staff training to ensure high performance and achievement of individual, team and department objectives

Requirements:

• University degree or equivalent experience with minimum 6 years’ work experience in customer service call centre or frontline counter centre, of which at least 2 years at managerial level.
• Fulfilment of the fit and proper criteria of the Insurance Authority for licensing as an individual insurance agent of the Company, including but not limited to passes in IIQE Paper 1, 2 [subject to the regulated activities to be conducted]
• Proactive, attention to details, able to work under pressure in a dynamic and changing environment to meet agreed timelines;
• Good command of both written and spoken English and Chinese.
• Proficient in Microsoft Word, Excel, PowerPoint, Outlook and Chinese Word Processing.

• Supervise junior hotline service staff in providing professional hotline service to the public and tenants 
• Manage a team of CS staff in China
• Plan and administer daily manpower arrangement and provide on-the-job training & coaching for service excellence 
• Prepare reports and present data analysis summary for service review to management levels
• Perform administrative and ad-hoc duties as assigned 
• Occasional travel to China is required

• Good negotiation, communication, interpersonal and organization skills with strong leadership and customer focus 
• Diploma holder or above, preferably in Business-related disciplines 
• Minimum 5 years of experience in customer service industry of which at least 1 year in supervisory or coaching role 
• Experience in tele-sales or with sales background is preferred
• Pro-active and creative personality
• Good command of written and spoken English and Chinese (including Putonghua) 
• Proficiency in MS applications (Power Point, Word, Excel and Chinese Word Processing)

What you will do

The Service team delivers innovative maintenance and service solutions to a wide customer base across all industry segments for HVAC systems. You will be part of a growing team leading engineers and technicians to maintain and support customer’s facilities.

How you will do it

• Supervise a team to provide support in maintenance, retrofit work, testing and commissioning, installation, service and maintenance works, including hardware, software and trouble-shooting projects
• Ensure quality of work to the satisfaction of customer and meet the agreed statement and quality standard
• Coordinate all the site works including those performed by subcontractors to ensure compliance with requirement
• Prepare maintenance and retrofit proposal and tender
• Maintain good relationship with customers

What we look for

Required

• Higher Diploma or Degree in Building Service / Electrical / Mechanical Engineering or equivalent
• 5 to 7 years’ relevant work experience in Chiller / HVAC
