Job Overview:

We are seeking a dedicated and experienced Executive Assistant to provide high-level administrative support in CEO Office. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently.

Responsibilities:

• Manage executive calendars and schedule meetings and appointments
• Coordinate travel arrangements and prepare detailed itineraries
• Prepare and edit correspondence, communications, presentations, and other documents
• Conduct research and compile data to support executive decision-making
• Handle confidential information with discretion
• Assist in the preparation of reports, budgets, and presentations
• Anticipate the needs of the executives and proactively solve problems
• Liaise with other team members to ensure efficient communication flow
• Perform other administrative tasks as needed

• Proven experience as an Executive Assistant or similar role
• Proficiency in MS Office suite
• Excellent organizational and time-management skills
• Strong written and verbal communication skills
• Ability to multitask and prioritize tasks effectively
• Discretion and confidentiality
• Bachelor's degree in Business Administration or related field preferred
• Fluent in both Chinese and English are preferred

Job Responsibilities:

• Provide comprehensive administrative and secretarial support to senior management
• Manage calendar, schedule appointments and meetings, and coordinate travel arrangements
• Prepare and edit correspondence, reports, and presentations
• Handle incoming calls, emails, and other forms of communication
• Being the first point of contact for visitors coming to the office
• Operate and manage a full spectrum of office service/daily operations for the office
• Coordinate and organize internal and external meetings and events
• Assist in preparing and monitoring budgets and expenses
• Support office relocation and renovation project
• Handle the procurement of the operational needs of administration functions
• Liaise with relevant vendors, contractors, and other service providers
• Organize staff activities and company events
• Other ad hoc duties as requested

• Bachelor's degree in Business Administration or a related field
• Proven experience as an executive assistant or in a similar administrative role
• Excellent organizational and time management skills
• Strong written and verbal communication skills
• Proficient in Microsoft Office Suite
• Attention to detail and ability to multitask
• Professional and discreet with strong interpersonal skills
• Ability to work independently and handle confidential information
• Fluency in English, Cantonese, and Mandarin is preferred
