The Office & Administration Manager organizes and coordinates office administration and procedures, ensuring organisational effectiveness, efficiency, and safety - reflecting the Company’s professional standards at all times.  He/she is also responsible for communications relating to office protocols, streamlining the related administrative procedures, managing stationery and pantry inventory (from budget to payment), and coordination of any associated service providers.

Responsibilities

Responsible for monitoring the digital asset custody technology stack to ensure the stack is operational 24x7, stable and has sufficient capacity. Provide timely root cause analysis of platform and application incidents, involving the key resources as needed, so we can quickly restore normal operation.

Building out automated solutions for complex operational problems using industry best practice and cloud native technologies. Actively seek out innovative solutions towards operational excellence and coordinate proactively with development, operations, and the wider platform team to improve system availability, security, performance, and maintainability.

• Ensure continuous, scalable and robust operation of our production environments. 
• Collaborate closely with the development teams in a fast-paced delivery environment to foster the SRE mindset as part of the software development process.

To support the rapid growth at Hex Trust, we are seeking suitable candidates to join us in the position of VP, Finance. You will be leading in all aspects of financial management, including corporate accounting, regulatory and financial reporting, treasury, budget and forecasts preparation. You will be accountable for partnering with the management team in supporting business decisions from a financial perspective and reporting all financial results timely and precisely. You will lead and strengthen the Finance team to cope with increasing levels of scope and responsibilities.

• Lead a team of 3-5 people.
• Oversee finance functions including billing & AR, procurement, expenses and payments, and bookkeeping.
• Hands on work on consolidation, treasury / bank administration, tax compliance, budgeting and forecasting.
• Partner with senior management and department heads in providing financial advice and insights to support business initiatives.
• Develop and maintain management reports that provide insightful analysis into the Group’s financial & operational performance.
• Ensure financials of the company are presented in a timely and accurate manner.

About the job

We are seeking an ambitious self starter to lead Internal Audit (“IA”) for the Hex Trust Group. Reporting directly to the Group CEO, you will be working closely with senior leadership across the organization to help ensure proper governance and controls are followed and provide independent assessment on and compliance with corporate governance standards to senior management and the Board of Directors.

Responsibilities

• Lead Internal Audit to ensure proper governance is maintained across the organisation;
• Develop the internal audit plan and undertake internal audits as required to ensure the company meets its financial, operational and compliance objectives;
• Report on control deficiencies to management and the Audit and Compliance Committee and make recommendations to mitigate risk and add value;
• Challenge current processes across the company and identify opportunities for refinement;
• Engage remediation of identified issues through follow-up
• Play an active role in the maintenance and review of policies and procedures, including ensuring they are up to date with all legislation and best practices
• Support selection and management of external vendors
• Play an active role in advising the organisation on governance and internal audit matters

• 3-5 years’ practical experience in internal audit and / or external audit on companies / financial institutions, with experience in international accounting firms a plus;
• Undergraduate degree in a business-related field and relevant qualifications (e.g. CPA, CIA, CISA, etc.)
• Self-starter with ability to independently run assignments involving stakeholders at various levels across the business
• Analytical thinking and attention to detail;
• Strong ethical standards and high levels of personal integrity;
• Strong English language communication skills, both written and verbal;
• Experience in or passion for Crypto industry or Digital Asset is desirable

About the Job

Hex Technologies Pte Ltd received the Major Payment Institution (MPI) in-principal approval license in July 2024 and, as one of the first custodians to receive the MPI license, the Compliance Officer (CO) will responsible for day-to-day compliance works and operations in our Singapore office and help ensure compliance risks are identified and adequately mitigated in both Singapore and at the Group company level. In addition, the CO will also help with the planning, implementation and oversight of the Governance-related responsibilities of the Compliance department, including but not limited to, reporting requirements for internal and external parties.

Responsibilities:

• Manage compliance risk strategies, policies and frameworks at local and group level;
• Monitor and assess compliance with the laws, regulations and policies of Singapore and the MAS;
• Provide inputs to the Head of Legal & Compliance and management team on ongoing licensing requirements and best practices of processes at group level;
• Implementation and processing of compliance controls and risk management activities;
• Manage regulatory reporting;
• Direct reporting to the Head of Legal and Compliance;
• Carry out awareness briefing and staff training on regulatory requirements, company policies and procedures;
• Liaison with regulators, auditors and law enforcement. Oversee compliance reviews and investigations;
• Review marketing materials prior to publication;
• Verify and ensure documentation is complete prior to onboarding of clients;
• Perform investigative work on suspicious transactions and/or activities for both fiat and cryptocurrency transactions;
• Manage and review all transaction alerts within target timelines, and where appropriate, prepare Suspicious Transaction Reports (STRs) to the relevant Authorities.

• At least 7 years experience in a compliance role in a financial institution, digital assets company or in a regulated industry with a mix of regulatory compliance and AML/CFT compliance;
• Regulatory exposure to the MAS or commensurate overseas regulator;
• Relevant experience as a MLRO/Deputy MLRO highly preferred;
• Familiar with the Payment Services Act particularly PSN01 and PSN02, and related regulatory requirements issued by the MAS;
• Bachelor in Business, Accounting, Finance, Legal, or other relevant discipline;
• Advanced degrees of certifications (e.g. CAMS, ICA, CCAS) are a plus;
• Effective communication and interpersonal skills;
• Ability to handle multiple tasks simultaneously and work under pressure;
• Ability to work independently and as part of a global team;
• Hands-on approach and inquisitive mind.

Position Summary

Hex Trust is looking for a Hong Kong based Responsible Officer to oversee and support the next stage of the Company’s growth & expansion; obtaining and maintaining SFC Type 1 (Dealing in Securities) and Type 4 (Advising on Securities) licenses.  This position requires a high level of intellectual rigour, a can-do attitude, and a passion for structure and details. 

Duties & Responsibilities

• Act as a Responsible Officer (RO), own the SFC Type 1 and 4 license application and maintenance processes, supervise regulated activities.
  
  
• Liaise with the Securities and Futures Commission (SFC) and/or other regulatory bodies.
  
  
• Develop and implement a comprehensive plan to ensure compliance with all relevant regulatory requirements for the licenses.
  
  
• Conduct thorough reviews of the Company's operations, policies, and procedures to ensure alignment with required regulatory standards.
  
  
• Collaborate with internal stakeholders to obtain the necessary information and documentation for the license applications.
  
  
• Coordinate and respond to enquiries or requests from the SFC.
  
  
• Stay updated on changes in regulatory requirements and industry best practices related to the SFC Type 1 and 4 licensing.
  
  
• Provide guidance and advice on licensing matters, ensuring ongoing compliance with regulatory obligations.
  
  
• Establish and maintain strong relationships with external legal and compliance professionals as necessary.

• Must be a current holder of Type 1 and Type 4 licenses, and have a demonstrable history of license maintenance.
  
  
• A minimum of 10 years of relevant experience in the financial services industry, with a focus on licensing and regulatory compliance; previous experience as a Responsible Officer is preferred.
  
  
• In-depth knowledge of Hong Kong securities and futures regulations, including the SFO and relevant codes and guidelines.
  
  
• Familiarity with the digital asset industry and blockchain technology is preferred.
  
  
• Excellent communication and interpersonal skills, with the ability to effectively engage with regulatory bodies, internal stakeholders, and external service providers.
  
  
• Strong analytical and problem-solving abilities, with attention to detail.
  
  
• Ability to work independently and manage multiple tasks and deadlines.
  
  
• A proactive and results-oriented mindset, with a strong sense of ownership and accountability.
